Dump it, Delegate it, Deal with it!

Procrastination is not the name of the game. Dedication is. What have you spent a whole day doing in order to avoid another task? Yes, you, a whole day. As business owners we can often have tasks stagnating on our to do list; they are just not appealing in the slightest for one reason or another. This short blog will help you either dump it, delegate it or deal with it! Ask me for my Weekly Planning Cheat Sheet to help you plan your personal and professional life more easily.

So, how do you get tasks off your business to-do list: 1) Dump it, 2) Delegate it or 3) Deal with it… 1) If you’ve got a task or action on your to do list that’s been there longer than 3 weeks, then this to me suggests there’s a bigger reason why it’s not getting completed. Try this exercise to help you understand if you can dump it without having reprocussions. Write out each stagnating task. Rate the task – between 1 and 10; 10 being 'argh' I really do not want to do this. Then, estimate the amount of time it would take you to complete the task; alternatively is there someone you know who could complete the task more easily or effortlessly? Finally, ask yourself what will happen if you/the task does not get completed? Now you should be in a position to know the next step: dump, delegate or deal. If it’s dump it. Done.

2) Delegate it! Delegation of a task, especially for those who run their own business, can often be a real challenge in itself! Hence the reason it’s being sitting in your to-do list for so long. To delegate successfully – understand what results you are aiming for on completion of the task. Be really clear and specific with these results. If you have someone within your business already, with the right skills or resourcefulness, pass this task over written down and being clear with the results you’re looking for with a clear deadline. The fact that you’re trusting them to take care of the task in any way they decide will empower them. For peace of mind you could offer your help at any point in between should they have any questions. No staff, then they are lots of virtual PA’s or people per hour who’s job role will cover most business related tasks.

3) Deal with it! So you’ve already established how long this task is going to take you to complete. So, all you now need to ask yourself is when? Tasks up to 15 minutes, what is really going to get in the way of you completing it now. Go on, do it now. Tasks over 30 minutes need scheduling in. Schedule in your business diary in the next 48 hours. If your task is longer than 2 hours you will find it easier and more manageable to complete if you chunk this down into 30 minute daily bite sizes. This will keep you motivated and feeling like you’re moving forward with it.
